NetSuite OpenAir’s April 2023 release focuses primarily on taking steps in the right direction to build upon current and in-demand OpenAir functionality to enhance the end-user experience. Vital improvements to key OpenAir features dominate this release and bring usability to new heights.

Here is Top Step’s Top Five of the NetSuite OpenAir Spring release:

1. Advanced Filter Enhancement: Preview and Renaming

With this release came two updates to the redesigned advanced filters:

  • Ability to Preview filter results and save a new advanced filter from the Apply button menu
  • Ability to rename an existing advanced filter

Previously, after clicking “Apply” to preview an advanced filter, you could only save changes by clicking the caret next to the filter icon:

Now after applying (previewing) advanced filter results, you can click the caret next to the Apply button and then Save:

Previously, the only way to rename an existing filter was to save a new one and delete the old one. “Rename” is now an option in the filter icon dropdown. Click the caret icon in the toolbar filter panel, then click rename. You can then enter a new name for your saved filter.

Pro Tip: Press the F key to bring up or dismiss the advanced filter quickly.

2. Project Center Enhancement: New ‘monthly’ time period view option

The following enhancement is available if the Project Center Outline View & Project Center Booking Worksheet features are currently enabled in your organization’s account.*

 

Users can now switch between weekly and monthly (new option) granularity to gain perspective on the project plan.

Click the week icon or month icon in the toolbar to switch between weekly and monthly time period views in the project center booking grid.

Depending on the selected time period view, the booking grid shows a week-by-week or month-by-month schedule. Bookings will evenly spread the hours from the first day of the period up to the last day of the period.

3. Project Center Enhancement: Toggle option to display phase/task level hours totals

There is now a toggle option available to display the hours totals at the project level but also at the task level.

The totals shown in the booking grid are updated immediately after you add or change a booking’s hours in the booking grid. Click Save in the toolbar to update the totals shown under the Hours Planned and Hours Booked columns in the project outline (left side of the project center view).

4. Global Enhancement: User License Tracking

You can now view the user licenses purchased for your account as well as the breakdown of active users by license type.

To view your license usage, navigate to:

Administration > Account > Licenses

The number of active users is shown in a red color if it is larger than the number of licenses. OpenAir sends a license compliance email alert to account administrators when the number of active users exceeds the number of licenses that may be used for a certain type of user.

5. Global Enhancement: ‘Assigned to’ column filter

In the previous October 2022 release, “Assigned to” was added as a column filter in the Task list view. However, searching by a user’s name would not return any results.To get the correct result, you had to use the advanced filters instead. This release has implemented a fix for that feature and restored its functionality.

Additionally, with this enhancement, clicking <#> incomplete tasks in the My Status widget on the Home page, now takes you to the pending task list view with the “Assigned To” column filtered to your name only.
