Sharing Project Summaries as Project Status Updates in SuiteProjects Pro

Keep stakeholders informed with project summaries

SuiteProjects Pro enables you to share a project summary directly to the project news feed as a status update. This helps you communicate key project information to stakeholders and keep everyone who has access to the news feed informed.

Once you have created and saved a project summary, you can share its content as a news feed status update. The shared update captures the summary’s title and content at the time of sharing, allowing you to quickly communicate important project details without manually recreating the information.

What information is included in the status update?

When you share a project summary, SuiteProjects Pro creates a new status update in the project news feed with the following information:

  • Title: Copies the project summary title as it appears at the time of sharing.
  • Status update: Copies the project summary content as it appears at the time of sharing.
  • Status: Remains empty by default. You can edit the status update in the project news feed to assign an appropriate status.

For more information about setting the status, see Editing a Project Status Update.

Understand how shared summaries work

The status update is a snapshot of the project summary at the time you share it. Importantly, the snapshot includes any changes you have made in the project summary panel, even if those changes have not yet been saved.

However, the news feed status update does not automatically synchronize with subsequent changes to the project summary. If you later edit or discard changes to the original summary, the content already shared to the news feed remains unchanged.

To update the information in the news feed, you can either:

  • Manually copy the revised project summary content into the existing status update.
  • Share the project summary again and delete the previous status update to avoid duplicate or outdated information.

How to share a project summary as a status update

Follow these steps to publish your project summary to the project news feed.

Step 1: Open the sharing option

In the project summary panel, click the More options icon beneath the summary content and select Add news feed status update.

A confirmation message appears.

Step 2: Confirm the status update

Click Add status update to confirm. SuiteProjects Pro adds the summary to the project news feed and displays a confirmation message containing a link to the feed.

If you decide not to share the summary, click Cancel to return to the project summary panel without creating a status update.

Important: Anyone who can view the project news feed can also view the information included in the shared summary. Before confirming, ensure that the content is appropriate for the intended audience.

Step 3: Review and edit the published update

To open the project news feed, optionally click View news feed in the confirmation message. This closes the project summary panel and opens the news feed panel, where you can review and edit the new status update, including setting the Status field.

If your project summary contains unsaved changes, SuiteProjects Pro prompts you to choose one of the following options:

  • Save and close: Saves your changes to the project summary, closes the summary panel, and opens the news feed panel.
  • Discard and close: Discards your unsaved changes to the project summary, closes the summary panel, and opens the news feed panel. The status update you shared still contains a copy of the summary, including those unsaved changes.
  • Keep editing: Cancels the transition and returns you to the project summary panel so you can continue working.

Choose the option that best suits your workflow, keeping in mind that discarding changes in the summary panel does not remove those changes from the status update already added to the news feed.

Important considerations when using AI-generated summaries

If you use the Project Summary feature to generate content with AI, carefully review the generated summary before saving or sharing it.

Generative AI can produce content that requires human review. Always validate the summary for accuracy, quality, relevance, and appropriateness before making it available to others. Confirm that the information reflects the current project situation and is suitable for everyone who can access the project news feed.

Requirements and permissions

The ability to share project summaries as news feed status updates is available only when both of the following conditions are met:

  • The Project Summary and Project Status News Feed features are enabled for your account.
  • Your assigned role permits you to view project summaries and edit news feeds.

If the sharing option is unavailable, check your account’s feature configuration and role permissions with your SuiteProjects Pro administrator.

Best practices for sharing project updates

To keep project communications clear, accurate, and useful:

  • Review before sharing: Check the summary for accuracy and completeness, especially when AI-generated content is involved.
  • Consider your audience: Remember that anyone with access to the project news feed can view the shared information.
  • Set the status: After sharing, open the news feed and assign an appropriate status to help stakeholders understand the project’s current position.
  • Keep updates current: Since shared summaries do not update automatically, revise the existing status update or publish a replacement when the project summary changes.
  • Avoid duplicate updates: If you share a revised summary, remove the previous status update when it is no longer needed.
