NetSuite Connector: Automation vs. Real-Time Processing

The NetSuite Connector in SuiteProjects Pro enables data to move seamlessly between SuiteProjects Pro and NetSuite. With multiple record types to process (often with different priorities) understanding how and when the connector runs is key to ensuring data is transferred at the right time.

There are two methods for triggering the connector process. The first is called “Automate.” The automate option will automatically run the integration at designated days and times. As an administrator, you may choose to schedule the integration to run every day at a designated time, weekly on a specific day, or every few hours. The automate option also allows you to add several different schedules pertaining to different groups of data. An integration may handle client and project data at a different time interval than invoice data. By default, automated connector runs can only occur ten times per day. If more daily runs are needed, then SuiteProjectsPro support can be contacted.

Example:

  • NetSuite Projects -> SuiteProjectsPro
    • Every day 11:00 P.M. EST
  • NetSuite Clients and Users (Vendors) -> SuiteProjectsPro
    • Every day @ 10:00 P.M. EST
  • SuiteProjectsPro Revenue Transactions -> NetSuite
    • Every Saturday @ 5:00 P.M. EST

The workflow groups above show how different data can be scheduled to be processed at different times and days. Some data schedules may even be shared with others such as the client and vendor process.

The second method is called “Real-time.” The real-time option allows data to be processed immediately upon a designated event occurring. This enables SuiteProjectsPro records to integrate to NetSuite upon designated events. Several real-time integrations can be configured for as many of the available records needed. The records available are listed below:

  Exported to NetSuite Upon Approval:

  • Invoices
  • Expense Reports
  • Timesheets
  • Purchase requests

Exported to NetSuite Upon Save:

  • Customers
  • Projects
  • Tasks
