How to Export OpenAir Project Fields Directly to a NetSuite Invoice

When exporting an invoice from OpenAir to NetSuite, the fields are typically limited to invoice fields; however, with minimal setup, OpenAir can map fields directly from a project to the invoice header in NetSuite. This mapping allows a project owner to set information on the OpenAir project that can flow directly to the final invoice, including fields like notes or payment terms.

Configuration Steps

First, you must enable two prerequisites before project fields can successfully be exported to a NetSuite invoice.

  • One Project Per Invoice – OpenAir invoices must be limited to one project per invoice. Enable this setting by checking the box in the invoice settings:

==> Administration – Application Settings – Invoices – Other Settings

  • Consolidate Projects on Sales Transactions – Enable this setting in NetSuite as follows:

==> Setup – Accounting – Set Up Accounting – Items/Transactions Tab

Mappings

Once the settings have been enabled, add the project to invoice mapping to the NSOA workflow. This mapping can include standard fields, custom fields, or advanced mappings.
