How to Allow Contractors or Part Time Employees to Submit Timesheets With Only the Actual Work Performed
Most companies require their users to submit the exact or more hours based on users’ regular working hours. Since Timesheet rules are global and enforce all users to submit 100% of their regular working hours on their timesheets, for example, 8 hours a day for 5 days which is equivalent to 40 hours per week, this causes problems on companies that have Contractors or Part Time employees who only need to submit the hours they’ve actually worked on for each day.
The suggested workaround is to create a separate work schedule for Contractors and associate it with the user records of the contractors or part time employees.
To create a work schedule:
- Navigate to Administration > [Global Settings] Organization > Work schedules
- Click on Create button at the top left of the menu
- Click [New] Work Schedule and fill up:
- Since work schedule must contain at least one hour per week, we can mark check any of the day like Monday and set “1” hour to default checkbox.
- Hit save
To associate the Contractors or Part Time employees to this work schedule:
- Navigate to Administration > [Global Settings] Users > Users
- Find and open the Contractor’s or Part Time Employee’s User record
- Go to Schedule tab
- On the first dropdown field, select the Work Schedule created for contractors
Now, on the Timesheet rules (Administration > [Application Settings] Timesheets > Timesheet Rules), make sure that on the Minimum number of hours required on the timesheet setting, the Percent of work schedule on Hours/Percent is selected. The Minimum number of hours per day required on the timesheet setting should also be unmarked.
Following this trick will tell the system that the minimum number of hours for this contractor is only one hour per week, therefore, the Contractors will be able to submit their timesheets even with just one hour recorded on the timesheet.
