If your company is like most, the OpenAir Reports module is used by many users in different parts of the organization to get and share information about your Projects, Users, Invoices, etc. Some users create reports just for themselves or perhaps their own Department. Other users may need to create OpenAir reports for different audiences.

Recipients of these reports may only have a User role in OpenAir, aligned with a User filter set that restricts what they can see.  But sometimes they need to be able to see more when viewing certain reports.

OpenAir Reporting lets us handle this requirement, in Settings when editing a report, by specifying a Report filter set that will be used when any user who has access to the report runs it. Even those users who only have the User filter set would see all data when running the report below that was saved with the All Access filter set specified.

To make this feature available ask OpenAir Support to turn on internal switch Enable filter sets to be associated with reports. Then, to allow a role to designate filter sets on report, you just need to enable the following permissions.

  • View Filter sets
  • Specify report filter sets

Note – previous guidance from OpenAir was that permissions ‘View and modify Filter sets’ and ‘Modify filter sets for existing things’ also had to enabled on the role to set Report filter sets.

If this deterred you from using the Specify Report Filter Set feature in the past, it might be time to reconsider enabling this very useful feature.
