Getting the Right People on the Right Projects — and Seeing What Their Time Is Worth
Two people in the same firm are staring at the same blind spot from opposite ends. Each project carries a simple field that lists the regions that should have access: a set of countries, or a shorthand for a whole region group like “EU” or “APAC.” A scheduled script reads that field and adds the project to the matching regional filtersets automatically. Add a country to the field and that region gains access on the next run; remove one and it is cleared, without disturbing the others. A region-group shorthand expands to all of its member countries, so a single entry can open a project to an entire continent’s teams at once.
The result is that visibility keeps pace with the work. New projects become visible to exactly the right regional teams within minutes of being created, nobody hand-maintains assignment groups project by project, and the people responsible for staffing are always looking at the full set of work they’re accountable for. Seeing what the time is actually worth
The second half of the problem lives in finance and operations. On time-and-materials work, an approved hour turns into a billable line almost by definition. But a great deal of professional services work isn’t T&M. It is retainer or fixed-fee, where the client pays a set amount regardless of hours. On that work, the hours your team delivers are still real, still costed, and still the basis for whether the engagement is profitable. They just never turn into anything you can see. The billable value of the work is invisible.

For active projects that have a rate card assigned, the script reads newly approved time and creates a charge for each entry, equal to the hours multiplied by the rate-card rate for that person’s role. Each charge is stamped with the project, user, task, business unit, and currency, and flagged as a reporting charge rather than an invoiceable one. The script only processes the projects it should, it won’t create a charge for a role that isn’t on the rate card, and it won’t double-count time it has already handled.
With that in place, the delivered value of every hour becomes visible for reporting, even on engagements that will never be invoiced by the hour. Leaders can see what a retainer month was actually worth in delivered effort, compare it to what was billed, and understand realization and margin on fixed-fee work the way they already do on T&M.
