Setting Task Assignment Billing Rates with NetSuite OpenAir

One of the strengths of OpenAir is the flexibility for billing time.  This tip shows another option to set billing rates on approved time entries.

Time based billing rule options

The standard OpenAir feature allows billing rules to set billing rates using the following options:

  1. User based – set a default billing rate on user record or override the billing rate within the billing rule.
  2. Job Code based – Allows each job code to have a bill rate override
  3. Rate card based – Allows job codes to be added to a rate card with billing rates
  4. Services – Allows services to be set with a billing rate override

What if we need to bill by assigned user and task?  Is there an option without creating multiple billing rules filtered by tasks and users?

There is a switch that allows billing rate overrides within task assignments. Each user assigned to a task can bill at a bill rate within the project.  This allows for flexible bill rates across users and tasks.

The name of the switch is named: Billing rule rate override at the task assignment level

When this switch is enabled, “Hourly Rate” field appears at the task assignment.

The time billing rule needs to be set to rates from: Users. A new field needs to be checked: Use bill rate override from task assignment

The benefit of this rule is the additional flexibility for billing users based on the tasks they are entering time against.
