How to Suppress Standard Email Notifications in OpenAir

OpenAir offers the capability to send custom email notifications when changes are applied to bookings, tasks, projects, or issues. However, in certain cases, users may not want to receive an email notification for every minor modification made to a specific booking throughout the day.

To address this, there is an internal switch that allows users to suppress email notifications triggered by minor modifications. To enable this feature and add custom fields for email notification suppression and cc email addresses, please submit an online support case in SuiteAnswers.

Once the internal switch is enabled, users with the necessary role privileges can follow these steps:

  1. Navigate to the administration module > global settings > custom fields.
  2. Create a new custom field for the desired entity (e.g., resource booking) and ensure it is a checkbox type.
  3. Assign the field name as “Suppress_email_notification_1” or a unique name for each entity (task, project, booking, etc.) where the action should be active.
  4. Check the “Active” checkbox, provide a description, associate it with the entity using the dropdown list, and specify the display name and hint if applicable.
  5. If there are multiple custom fields, select the desired display position.
  6. Click “Save” to save the custom field settings.

Following these steps, a custom checkbox for email suppression will appear on the booking form. Users can selectively choose to suppress email notifications by checking the suppress checkbox when making changes to bookings. When the booking form is saved, no email will be sent to the notification list. To resume notifications, users must manually uncheck the suppress checkbox.

Please note that each custom field’s field name must be unique, and it is recommended to name the custom field for email notification suppression with a different number for each entity to which it applies.

This feature provides users with greater control over email notifications, allowing them to choose when to suppress or resume notifications for specific actions on bookings.
