Automate User Active Status Between NetSuite and SuiteProjects Pro
Managing user accounts across multiple systems can be time-consuming and prone to error. When an employee leaves your company, you typically need to update their status in both NetSuite and SuiteProjects Pro separately. Wouldn’t it be convenient to manage these statuses from a single location?
This week’s tip shows you how to automatically sync the Active status between NetSuite employees and SuiteProjects Pro users, saving you valuable time and ensuring consistency across your systems.
How It Works: When properly configured, the NetSuite Connector integration will automatically:
- Create new SuiteProjects Pro users with the correct Active status based on NetSuite
- Update existing SuiteProjects Pro users when their NetSuite employee status changes
- Allow management of both active and inactive users from a single location
Setting It Up:
In this scenario NetSuite employees are eligible, whether active or inactive, to integrate with SuiteProjects Pro when their ‘Export to SuiteProjects Pro’ checkbox is checked. The NetSuite employee’s active status will be used to set or update the Active status of the corresponding new or existing SuiteProjects Pro user when the NetSuite Connector integration runs.
- In the NetSuite Connector Users (Employees) workflow, locate the active mapping row
- Ensure “Initial only” is not checked
- Click the gears icon on that row and add the following advanced mapping screenshot and click OK

This is what the mapping does:

- If Inactive is not checked on the NetSuite employee, the SuiteProjects Pro user will be set to Active.
- If Inactive is checked on the NetSuite employee, the SuiteProjects Pro user will be set to not Active.
- Next, click the Settings link on the workflow
- Check ‘Enable import of inactive users’ box
- Click OK to save the settings
- Go to the Tips menu and run Validate Mapping
- Save your updates:

After implementing these changes you can:
- Export new inactive NetSuite employees as inactive SuiteProjects Pro users
- Export new active NetSuite employees as active SuiteProjects Pro users
- Inactivate a NetSuite employee to automatically make their SuiteProjects Pro user inactive
- Reactivate a NetSuite employee to make their SuiteProjects Pro user active again
